Administrative Assistant - Support Coordination

Position Summary:  The  Administrative Assistant position provides administrative tasks that help support the Independent Support Coordination department.  The position involves preparation, classification and security of medical documents, sending letters to clients, and assisting with core quality and compliance reviews.  The work requires a high degree of proficiency and accuracy in the filing of documentation in consumer charts, and other work place assignments. 

Hourly Rate:  $12.00

Position Qualifications:

A High School diploma or equivalent along with one (1) year experience in hospital or agency medical records department.
It is preferred that the Administrative Assistant have knowledge of Microsoft products and data entry experience.  
Strong computer database skills along with excellent attention to detail and organizational skills are also required.
The ISC Administrative Assistant must be able to handle confidential information and abide by all HIPAA regulations.
The ISC Administrative Assistant must demonstrate the ability to communicate well with internal and external resources and all levels of staff. 
The ISC Administrative Assistant must possess a high degree of organizational skills and multi-tasking abilities including the aptitude to prioritize multiple functions and tasks.
The position must support the organization’s mission along with sensitivity of cultural and workplace harmony.

Primary Responsibilities/Essential Functions:

Reviews medical records for completeness and accuracy; returns unsatisfactory records to the responsible Program Manager. 
Sends various letters to consumers and ensures accuracy.
Assists with case transfers, opening and closures.
Maintains security of medical records and files
Provides backup for other support staff
Prepares filing for medical records in prescribed manner (numeric and alphabetical)
Answers main telephone line and directs incoming calls to appropriate personnel as a back up to the front desk

Assists with ODP regulatory functions to maintain quality and compliance of the department as assigned by Program Manager

Maintain driver’s license and registration information

Chart reviews

Assists in special projects and report compilation

Participates in all assigned meetings, supervisions and trainings
Maintain database for SC phone numbers and team assignments
Maintain service verification database
Respond to record requests by maintaining HIPAA regulations
Additional assignments and projects as needed
